Send it from your own tool

Send the invitation from your CRM, newsletter or mail, with each person's own link in it.

You can send a survey's invitation yourself, from the tool you already email customers with: HubSpot, Mailchimp, Intercom, Outlook or anything that can import a list. Outcomify still hosts the survey, ties each answer to the person it went to, and turns the answers into findings. It just doesn't email anyone.

Choose it

On the Review step, under How it reaches people, pick You send it from your own tool. The Message step then asks only for what the survey page says: who it is from, a few words at the top, the closing date and the thank-you. There is no subject line, reply address or reminder of ours to set.

Get the links

Press Get the links for N people. Everybody on your list gets their own link, the survey opens, and a CSV file downloads with one row per person:

  • email and name, as your list had them;
  • your list's own columns, so your tool can match its contacts by any id it keeps;
  • survey_link, that person's own link;
  • answered: no, started or yes.

Import the file into your tool and put the survey_link column in your message as a merge field, so each person gets their own link. Don't send one person's link to someone else: whoever opens a link answers as the person it was made for.

Send it from your CRM

If you use HubSpot, Pipedrive or Intercom, Outcomify can put the links on your contacts for you, so there is no file to import. Under Send it from your CRM on the survey's results page, pick yours under Which CRM do you use?. An owner or admin connects it once for the whole workspace, and the card opens on it from then on.

What you paste depends on the CRM:

  • HubSpot: create a private app with the scopes crm.objects.contacts.read, crm.objects.contacts.write and crm.schemas.contacts.write, and copy its access token.
  • Pipedrive: open Personal preferences → API and copy your personal API token. The first time, use an admin's token, so the custom person fields can be made.
  • Intercom: in the Developer Hub, create an app that may read and write contacts and data attributes, and copy its access token.

Connecting makes three fields on your contacts: Outcomify survey link, Outcomify survey (which survey it is) and Outcomify survey answered (no, started or yes). Then press Put the links in …: each person's own link goes onto their contact, matched by email address. In your CRM's email, insert the Outcomify survey link field where the link should go.

Only contacts already in your CRM get a link. Nobody is added to it: the page says how many people on your list aren't there, and you can download their links instead. A contact holds the link to the last survey written for them.

Press Put the links in … again before you send a reminder. Outcomify survey answered is then up to date, so a list of everyone where it is no is who to remind. Anybody who has unsubscribed since has their link taken back off their contact, and Outcomify survey answered says unsubscribed, so your reminder never reaches them.

Using another CRM? Pick Other: it walks you through importing the links file instead, and Request an integration takes you to our feature board, where you can vote for your CRM or ask for it.

Remind people

We send no reminder for a survey you send yourself. Download links on the results page gives you the same file again, with the same links and an up-to-date answered column, so your tool can remind just the people who haven't answered.

What stays the same

  • Each link counts as one invitation in the month's allowance when it is made, as an emailed invitation does when it is sent.
  • Nobody who has asked your workspace for no more surveys gets a link, and the file leaves them out.
  • The survey page says it is from your workspace, has an unsubscribe link, and closes on its date.
  • Only owners and admins can get the links, because the file holds your customers' addresses.
